Trace a lot and prepare a recall
Follow a lot back to its farm and forward to everyone who holds part of it, work out a recall's scope, and check lots received from suppliers.
Tracing answers two questions: where did this lot come from, and where did it go? Use it to answer a buyer or an auditor in minutes, or to see who must be told when something is wrong with a lot.
Trace back and forward
- Open Traceability & recall.
- Under Lot, search by product, lot code or farm, and choose the lot.
- Read the Scope: Lots in its lineage, Lots still open, Companies holding them and Quantity still held.
- The Lineage shows where the lot comes from and what was made from it. Select a lot to open it.
- Who holds it now lists every company holding a lot of this lineage today, with quantity and status.
On a lot's page, the Story lists everything that happened to the lot, oldest first, and the Lineage section has Open in Traceability.
Work out a recall's scope
The holders of a lineage are the companies a recall notice goes to.
- Select Start recall. The assistant computes the recall scope (every lot and holder in the lineage), asks you to confirm it, then drafts the notice for the holders and the status changes for your approvers. Nothing changes until an approver confirms.
- If the assistant is not available to you, the page shows Put this lot on hold instead. It opens Change lot status for the chosen lot; choose each lot of the lineage in turn under Lot and put it on hold. An approver confirms each change. See Changing a lot's status.
The Recall scope report in Reports gives the same scope as a signed document.
Lots from your suppliers ("Comes from")
When a lot was made from, or received as, a lot of a supplier, the lot's page shows Comes from. Each row names the Supplier lot and how it is linked: Processed from or Received as. A-REX checks it against the supplier's records and shows a status:
| Status | Meaning |
|---|---|
| Confirmed | The supplier's records show this lot and its delivery to your company. |
| Not confirmed | Your records name this lot, but the supplier's records do not confirm it. The reason is shown. |
| Not checked yet | The supplier's records could not be read yet. A-REX tries again. |
| Checking | A-REX is checking right now. |
Select Check again to repeat the check. Used in lists lots in your other records made from this lot or holding goods of it: a recall of this lot reaches them too.
How a lot gets its supplier lot
You do not type the link yourself. When you register a lot of goods a supplier delivered from a lot in their own A-REX records, enter that lot's Supplier lot reference under Received from a supplier's lot (and, if you have it, the Delivery reference). Before you send it for approval, A-REX finds the delivery to your company in the supplier's records and the preview says Records where this lot comes from: CS-412 of Acopio San Martín. If the supplier's records show no such delivery, the form says so and nothing is sent.
When you process lots that come from a supplier lot, every new lot keeps it: the preview says The new lots keep where the inputs come from. Corrections keep it too. Once the lot is registered, Comes from, the Recall scope report and the traceability exports show the link, checked against the supplier's records.
What tracing can and cannot tell you
Tracing shows what was recorded: registrations, deliveries, processing and status changes, each approved by a person. It cannot show what was never recorded, such as goods that moved without a delivery. A holder that is not in your directory appears as A holder outside your directory: add the party to know who it is.
