Sites tell where each lot comes from and where it is kept. A farm's geolocation is the location evidence the EU Deforestation Regulation (EUDR) asks for on its lots. Add your own sites first, then the farms of each producer you buy from.

What counts as a site

A site is a Farm, Plot, Silo, Warehouse, Plant, Port or Other site. Every site belongs to a party of your directory: your own company, a producer, a cooperative, a warehouse and so on. Producers' farms are added with each producer, on their party's page or in Sites.

Add your own sites during setup

The Sites step of the setup adds your own warehouses, farms, silos and plants before A-REX opens.

  1. Enter a Name, choose the Type and, optionally, the Region.
  2. Under Location (optional), enter Latitude and Longitude for a farm whose lots fall under EUDR due diligence. Enter both or neither.
  3. Select Add site, then Add another site for the next one.
  4. Select Continue, or Skip for now to add sites later in Sites.

Add a site

  1. Open Sites and select Add site. From a party's page, use Add site there.
  2. Choose the Owner, the Type and enter a Name.
  3. Fill in Country and Region. Area (ha), Crops and Address are optional. The address is encrypted and only your team sees it.
  4. Under Geolocation (EUDR), choose Point, Polygon (GeoJSON) or Not now.
  5. Select Add site.

GLN (location number)

If the place has a GS1 Global Location Number, enter its 13 digits in GLN (location number). The last digit is a check digit, so the form refuses a number with a typo. Lots harvested or packed at the site carry the GLN in their information, and the FSMA 204 traceability report uses it as the location reference. Leave it empty if the place has none.

Geolocation for EUDR products

The EUDR asks for the location of every plot where a product was grown:

  • a Point for plots up to 4 hectares: Latitude and Longitude in decimal degrees (WGS 84), for example from your phone's map app;
  • a Polygon (GeoJSON) for larger plots: paste a Polygon or MultiPolygon exported from your mapping tool.

Coordinates stay encrypted in your directory and never go on the ledger. EU authorities receive them in the due diligence statement you file. Reports include farm locations only when you tick Include farm locations, because a plot's location can identify a producer.

What happens without geolocation

You can still register a lot from a site without geolocation. The lot stays traceable to the farm, but the location evidence the EUDR asks for is missing:

  • the harvest form says No geolocation recorded: traceable to this farm; the location evidence EUDR asks for is missing.;
  • for a product under the EUDR it warns that the lot will be recorded without the location evidence EUDR asks for before export to the EU, and asks you to add it in the directory;
  • the EUDR column of Sites shows Missing geolocation, and a notice above the list says how many farms or plots lack the location evidence and offers Show them;
  • the setup checklist keeps the sites task open while a site lacks geolocation and you trace a product under the EUDR.

Add the location as soon as you have it. The next lots from that site carry its location evidence.

Changing a location

When you change a site's geolocation, the new location goes to your directory and your EUDR reports. The site's origin reference stays the same, so lots keep it and their history does not change.

Origin reference

Each lot carries an origin reference on the ledger that says which site it comes from. It is never made from the location. Open a site in Sites to see it under Origin reference:

  • Random reference: what every site gets. Nobody can work out the place from it.
  • Land registry number: for a site in Brazil you can enter its CAR (rural environmental registry) number. Anyone who has the number can check the reference, and the registry shows the property's boundary, so enter it only if the producer agrees.
  • EUDR statement: a harvest with a due diligence statement reference carries a reference made from that statement.
  • Older location-derived reference: lots registered before October 2026 from a geolocated site carry one. It cannot be erased from lots already recorded, but without a secret value that is never published it cannot be traced back to the place. New lots get the site's random reference.

Places that receive lots

A partner receives lots at an account. Use one account per warehouse or farm if you want to see where each lot is: open the party's page and select Add account, or use Add an account for this site on the site. See Deliver a lot.
