Lots

A lot is a quantity of one product you can follow from its origin to its buyer, with its holders, status, certificates and lineage.

A lot is a quantity of one product that you can follow from its origin to its buyer. A harvest, a truckload received from a producer or a batch of roasted coffee are each a lot. Every change to a lot is approved by a person and recorded on your ledger.

What a lot carries

  • Product and its commodity code, from your catalog.
  • Quantity, shown in the product's unit, for example 12.5 t or 210 bags, and recorded in its base unit, such as kilograms, so any part of it can move. See Units.
  • Your lot code: the code on your bags, tickets or labels, if you use one.
  • Origin: the farm or plot it comes from. A lot made from other lots inherits their origin.
  • Harvested and Expires dates. A lot sold before its harvest reads Not yet harvested.
  • Held by: who holds it now. Parts of one lot can be held by several companies or places at the same time, after a partial delivery.
  • Certificates: lab results and certificates attached to it, each with its evidence level.

Status

StatusMeaning
AvailableIt can be delivered and processed.
On holdStopped while you check something. It can be released at any time.
UnfitFailed quality, contamination or damage. Blocked for delivery and processing.
ClosedConsumed, sold to the final consumer or destroyed. It can never move again; its history stays.
RestrictedAny other restriction, shown with its number.

A lot past its expiry date cannot be delivered either. Use Change status on the lot's page; an approver confirms each change. See Changing a lot's status.

Lineage

Splitting, merging and processing create new lots and keep the link to the lots they came from. Together these links are the lot's lineage: everything it came from, and everything made from it. Lineage is what lets you trace back to the farm and forward to every holder, for an auditor or a recall. See Trace a lot.

Lots from suppliers

A lot can name the supplier lot it was made from or received as. The lot page lists it under Comes from, with whether the supplier's records confirm it. A-REX records it for you: from the supplier lot reference you enter when you register the lot, and through processing, where every new lot keeps where its inputs come from.

Where lots live

Harvests & lots lists every lot your company registered or received. Each lot's page shows its summary, its Story (everything that happened to it, oldest first), where it is now, its certificates and its lineage.
